The header carries a global command palette, a practice-area switcher, and a persistent help menu with role-specific walkthroughs so nobody has to guess where a feature lives.
The dashboard is multi-tenant and workspace-scoped. That means solo attorneys, boutique firms, and larger practices all get the same platform, but each firm's data — cases, clients, drafts, financials, team — is isolated in its own workspace. Workspace Owners bypass the standard role checks and have unrestricted admin powers, while every other seat is governed by explicit roles and permissions described below.
Density is user-configurable (compact, comfortable, spacious), the sidebar can be collapsed to icons for maximum working area, and every list view supports saved views, deep-linking, and shareable filters so your team stops re-doing the same queries every morning.
2. AI intake & lead capture
Every practice area has its own AI-powered intake pathway that runs in the client's language of choice — English, Spanish, French, Armenian, or Russian. The intake agent uses Google Gemini under the hood, follows a strict step-based flow, and collects only the information you need to evaluate the matter. It intentionally avoids collecting sensitive PII like social security numbers, dates of birth, or A-numbers unless you explicitly enable it in workspace settings.
Intakes can be embedded on any external website via a lightweight iframe embed script, run from a standalone /intake route for direct sharing, or triggered from your marketing site. Every intake produces a structured lead record, a dual-language report (native + English), and, where relevant, an auto-generated PDF summary you can download or email to the prospect. Phone numbers are captured with country auto-detection based on the conversation, and resumes or supporting documents can be attached and later exported via signed URLs.
The intake queue lives inside the dashboard as a first-class surface. Unassigned leads are visible to any team member with the correct role, and each row is clickable to open the full transcript, the AI's classification, the recommended practice area, and — when the prospect confirms — a one-click "Convert to case" action that maps every field into the appropriate matter record without any re-typing.
3. Case & matter management
Cases are the heart of the dashboard. Every case runs through a two-tier classification system — an overall status (Pending, Intake, Consultation, Retainer, Active, On Hold, Closed, Declined, Lost) plus a nine-stage workflow that maps the actual legal progression of the matter. Cases are numbered automatically: a date-based scheme before retainer, and a sequential firm-wide number after retainer, so you always know at a glance whether the client has signed.
The case detail page consolidates everything about the matter: parties, timeline, documents, tasks, deadlines, notes, financials, time entries, messages, and the encyclopedia. A tabbed timeline separates past events from future obligations so nothing slips. Every case tracks its "first engaged" date, the date the retainer was signed, the responsible attorneys, the practice area, and a creator audit trail so you always know who did what and when.
Cases can be created three ways: through AI parsing of a pasted narrative, through the manual step-by-step wizard, or automatically from an intake conversion. Case deletion is intentionally hidden inside a Danger Zone with explicit warnings — data loss is not a normal workflow on Nexora, and the platform will actively refuse to delete a matter that still has open financial obligations without an override.
4. Attorney review queue
Because every Nexora deliverable is attorney-signed before it ships, the review queue is one of the most-used surfaces in the platform. It shows every AI-drafted document across every practice area, sorted by client urgency, and lets you open a side-by-side view of the AI draft, the source sample it was assembled from, and the client's intake responses. You can accept, redline, comment, or reject with a click, and every action is logged for audit.
The queue is filterable by practice area, assignee, matter type, and turnaround deadline. When you sign off, the client is automatically notified through the portal, an email is dispatched with the finalized document, and a delivery record is created. When you redline, the AI is re-invoked with your edits as guidance so the next draft learns from your judgment.
5. AI drafting & sample library
Nexora does not free-form-generate legal documents. Every AI draft is assembled from an admin-curated library of vetted sample documents. When a client requests a document, the AI picks the closest matching sample, adapts it to the client's facts, and produces a draft that is stylistically and legally aligned with what the firm has already approved. If no sample exists for a document type, the AI drafts from best practices and clearly flags the deliverable as needing extra attorney scrutiny.
Admins can upload, tag, and version samples through the Sample Library page. Each sample is scoped to a practice area and document type, and can be locked once approved. Drafts also support merge-field variables so client-specific data (names, addresses, dollar amounts, dates) is inserted automatically without giving the AI room to hallucinate.
Beyond documents, the drafting layer also powers AI-generated client letters, status updates, task extraction from intake transcripts, natural-language task creation, deadline prediction, assignee suggestion, and the daily AI standup that summarizes your workspace at 8am.
6. Case encyclopedia & master knowledge base
Every case gets a living encyclopedia — a structured, autosaving knowledge document that captures the facts, parties, strategy, notes, USCIS forms, ArdinaLaw forms, government forms, and every meaningful data point about the matter. The encyclopedia is generated by Gemini 2.5 Flash from the intake and then continually refined by the attorney. Fields autosave with a 1000ms debounce, so nothing is ever lost.
Beyond individual cases, the Master Encyclopedia is a firm-wide reference that stores structural templates for every visa type or matter category. When you create a new case in a covered practice area, the encyclopedia scaffolds itself automatically from the master template, saving hours of setup work. Custom types and statuses can be defined per workspace, and the encyclopedia can be exported to PDF for offline review or client delivery.
The encyclopedia also drives the Case Notes tab — a dedicated space for strategy notes, progress tracking, and internal-only commentary that never appears in client-facing exports.
7. Tasks, deadlines & calendar
The Tasks page is a standardized queue across every case and every practice area. It defaults to incomplete items assigned to the current user, supports deep-linking to individual tasks, and lets you group by case, assignee, priority, or due date. Tasks can be created manually, generated from AI intake analysis, produced by recurring rules, or extracted from templates. Every task supports comments and @-mention collaboration, and assigning a task fires a realtime notification to the assignee.
The Deadlines page and Deadline Compliance dashboard track statutory and internal deadlines across every open matter, flagging risk based on days remaining and current status. The Calendar surface unifies deadlines, tasks, hearings, consultations, and firm events into one view, with ICS export for personal-calendar sync.
Task templates let you codify your firm's standard workflows — an H-1B checklist, a personal injury demand workflow, an operating agreement checklist — and apply them to a matter with one click.
8. Time tracking
Time tracking is built directly into the dashboard, not bolted on. Every task and every case exposes a start/stop timer. The timer is persistent and survives page navigation and refreshes — a floating indicator lives in the lower left so you always know whether the clock is running. A global keyboard shortcut (Ctrl+Shift+T) toggles the timer from anywhere in the app.
All time is snapped to strict 15-minute intervals (:00, :15, :30, :45) to keep billing consistent with firm norms. The Time Reports page aggregates entries by user, role, case, practice area, and date range, and the Case Time Analysis view breaks down every matter by contributor and role so you can see exactly where the hours went.
Timezone handling is workspace-aware and user-aware. Every user confirms their timezone at first login, the org supports up to three office timezones, and every UTC timestamp is converted to the viewer's local time throughout the system.
9. Financials & reporting
Nexora treats the firm as a business, not just a case pipeline. The Financial Overview shows revenue, costs, and net profit across configurable date ranges, with a strict rule: the platform never estimates or fabricates numbers you have not entered. If a value is missing, it says so — silent guesses would be a misrepresentation of your books.
Case Finances track every retainer, invoice, expense, and disbursement per matter. Firm Expenses track your operational costs — rent, subscriptions, payroll, insurance — separately from case-level costs. The Cash Flow Dashboard shows money in versus money out over time, and Financial Forecasting projects future cash based on active retainers and expected close dates.
The Custom Reports builder lets you slice financial data by practice area, user, date, matter type, or any combination, and save the report for repeat use. Statistics and Advanced Analytics visualize pipeline health, funnel conversion, and cumulative status changes so you can spot bottlenecks in your case flow.
All financial visibility is admin-scoped — team members without a financial role see only their own time entries and their assigned matters, never firm-wide dollar totals.
10. Client portal & messaging
Every client gets a read-first portal at /client that shows their matters, documents, deadlines, invoices, and messages. Clients can upload documents (routed through a signed, secure upload edge function), download signed deliverables, view status updates, and message their attorney — all without calling reception.
Status update templates and client letter generators produce polished, on-brand communications in one click. Every message and document delivery generates an audit trail and, when configured, an email notification through the platform's MJML-based transactional email system.
11. Team, roles & workspaces
Team Management lets you invite attorneys, paralegals, and staff by email. Invites are auto-confirmed and land with a temporary password that the recipient rotates on first login. Roles and User Types are unified — one taxonomy, no confusing parallel systems — and access is enforced through row-level security policies at the database layer, not just in the UI.
The Permissions Matrix shows exactly what each role can see and do, and the Team Availability view surfaces the current local time and working status of every team member across every office timezone. A Team Members directory holds profiles, contact info, bar admissions, and role assignments.
Workspace Settings, Organization Settings, and Practice Area Settings give admins fine-grained control over branding, notification defaults, intake behavior, and practice-specific workflows. User deletion is handled by an atomic edge function that cleanly reassigns work and never leaves orphaned records.
12. Multi-practice case management & routing
Nexora is a true multi-practice platform. Immigration, Business Law, Employment, Personal Injury, Lemon Law, Class Actions, Consumer Protection — each area has its own intake pathway, its own document library, its own encyclopedia templates, its own pipeline, and its own settings. A global practice-area switcher scopes the sidebar and dashboards, so a lawyer working three practices doesn't drown in irrelevant matters.
Matters outside the firm's practice areas are routed automatically to the AppearMe network, which spans 19,600+ attorneys across all 50 states. That routing keeps the firm's client relationship warm without forcing the firm to take on work it doesn't handle.
13. Notifications & audit trail
Every meaningful action — a task assignment, a document delivery, a case status change, a new intake, a client message — fires a realtime notification. The Notifications Inbox aggregates them into a single, filterable feed, and every user can tune what triggers a push, an in-app toast, or an email.
Every case and every task carries a Created By and Modified By audit trail. Email delivery is fully logged and admin-inspectable through the Email Logs page, so nothing sent from the platform is ever a mystery.
14. Security & compliance
Security is baked in, not bolted on. Every table in the platform has row-level security policies that scope access by workspace and role. Financial data is admin-only by default. Intake leads are visible only to team members with the right permissions. Workspace boundaries are enforced at the database layer, so even a bug in the UI cannot leak another firm's data.
We prohibit collection of sensitive PII (SSN, DOB, A-number) in intake unless the workspace explicitly opts in. Password requirements are enforced. File uploads are constrained by type and size. Auth redirect URLs are strictly validated. Migrations are treated as first-class events — the platform never deletes or mutates user data without explicit warning and a rollback path.
